COVID 19 Guidance
The Harpenden Trust require us to follow certain additional conditions because of COVID-19 which mean that we will have to run the meeting slightly differently to what you are used to. These conditions are designed to help keep you safe.
We have prepared a risk assessment for the Trust (of which this Guidance is a part) and we will work to these new arrangements for the first three meetings then review the situation.
The primary objective of this guidance is to create and maintain a safe environment in which ALL MEMBERS feel comfortable to attend the live meetings. It is incumbent on us ALL to take the necessary action to maintain this safe environment and to protect each other.

Before the meeting
- You MUST NOT attend club meetings if you or anyone in your household has tested positive for COVID-19 or has symptoms or if you or anyone in your household is feeling unwell on the day of the meeting.
- We assume most members will have had two vaccinations. For those who have not we ask that you have a negative Lateral Flow test on the day of the meeting and wear a mask for the ENTIRE meeting.
Entering the meeting
- You are advised to wear a face mask to enter the Hall. (Revised 5th April 2022)
- Hand sanitiser is provided should you wish to use it.
- Seats will be spaced apart by one chair width to maintain 1 metre social distance. This will give us a capacity of 45 - 50 people, which is around the average normal meeting attendance.
During the meeting
- You are advised to wear face mask when entering and moving around the Hall but it is not necessary when seated. (Revised 5th April 2022)
- There will be the usual break halfway through the evening, but the club will NOT be providing refreshments. Please bring your own drinks etc should you wish to do so. The kitchen will be closed.
- The windows will remain open throughout the meeting to ensure plenty of ventilation. You may wish to bring an extra layer to keep warm just in case, particularly on colder evenings.
At the end of the meeting
- At the close of the meeting, please clean your chair with the sanitiser wipes provide and stack it along the sides before departing. If you are unable to do this, please ask someone for assistance.
- A bag will be available into which all wipes and any rubbish should be discarded before departure.
- Please exit via the marked door.
Following the meeting
- If you test positive for COVID-19 within 7 days of the meeting please inform Peter Whitehead (Membership) or in his absence Paul Johnson (Vice Chair). (Revised 5th April 2022)
IMPORTANT NOTE
The Trust and Harpenden Photographic Society accept no liability for any infection that is alleged to have taken place at the Hall. By attending the club meetings, you accept this condition and are responsible for your own health and safety. It may be necessary to change this Guidance at short notice if circumstances dictate.
